Position Overview:
We are seeking a dedicated and passionate Program Manager to lead, produce, and elevate facilitated sessions for executives in The Circle across two formats: Circle|Calls and Circle|Classes. Calls are monthly virtual large-group discussions offered to our executive communities of CFOs, CHROs, and CROs. Classes are longer form, workshop-style sessions offered to our members (and occasionally their direct reports) 2-4 times per year, delivered in-person or virtually. Both Calls and Classes are delivered by skilled facilitators who rely on this program manager to build compelling discussion content that ensures members walk away with tangible learnings and answers. The Program Manager will act as the lead producer, ensuring seamless execution and equipping facilitators with everything necessary to deliver impactful programming. This part-time role is central to delivering maximum value to our members and requires someone with a deep passion for community engagement and executive leadership development; a meticulous attention to detail; and a strong sense of ownership. The ideal candidate will have a strong background in virtual event management, discussion content development, and a deep understanding of the needs and priorities of executive-level professionals. This role will require coordination with internal teams and external stakeholders, ensuring smooth execution and high engagement for each and every program. 

Key Responsibilities:

Topic Ideation + Editorial Planning

  • Collaborate with multiple internal and external stakeholders – including the Chief Community Officer (CCO), member steering committees, and sponsor representatives – to brainstorm and conceptualize relevant, timely, and impactful topics for each Call and Class. Determine the right guests and speakers from within and outside the community to contribute to the conversation and provide diverse perspectives on the topic.
  • Use established tactics to gather feedback from key members as “shapers” to validate the importance and framing of proposed topics, ensuring the content is member-driven and aligns with their needs.
  • Build a proactive, forward-looking editorial calendar of programming topics that remains at least one quarter ahead at all times, addressing evergreen or seasonal topics for each executive title we serve.
  • Maintain flexibility to accommodate “newsroom” topics, allowing for spontaneous discussions on relevant industry trends and breaking news.
  • Look for opportunities to creatively feature sponsors of The Circle as subject matter experts in topics that may not immediately appear to align with their product or service, but add meaningful value to the discussion.

Project Management

  • Manage and coordinate multiple ongoing projects and timelines, delivering roughly 2-3 programs per month. Navigate the ambiguity of initial program development and editorial planning while ensuring smooth execution of each Circle|Call or Circle|Class that is in-flight.
  • Lead the coordination efforts to recruit, confirm, prepare, and communicate with all subject matter experts and facilitators before, during, and after a given program.
  • Take ownership of all processes necessary deliver a flawless Circle|Call or Circle|Class, including ownership of all logistics and technical aspects of production. Manage and utilize tools such as Airtable, Zoom, Salesforce, and no-code web development platforms to orchestrate all program logistics. These responsibilities could include: 
    • Pre-program: publishing details on the members-only website, setting up registration links (including registration questions, polls, and breakout rooms), sending calendar invitations, tracking registration, hosting prep calls, building discussion guides 
    • During program: testing + running Zoom, live troubleshooting, supporting facilitators, queuing up members to contribute to the discussion 
    • Post-event processes: processing recordings and transcripts, creation of participation reports + recaps, follow-up communications 

Content Development + Promotion 

  • Develop compelling titles, descriptions, and registration questions for every program, leveraging tools like ChatGPT for initial ideation and drafting, as well as feedback from the Content + Communications Manager as needed. 
  • Collect and organize registration data and transform it into a comprehensive discussion guide and event flow to support program facilitators. There may also be opportunities to occasionally support facilitation of a call alongside the primary facilitators, if desired.
  • Collaborate with the Content + Communications Manager to develop marketing communication (MarComm) strategies that drive participation and registration for each program. 
  • Partner with the Content + Communications Manager to create or resurface supporting content and resources that enhance the effectiveness of each program and provide valuable post-call resources.
  • Package and distribute recap emails with all associated content and resources to attendees.

Participation, Engagement, and Continuous Improvement

  • Gather participant, speaker, and stakeholder feedback to improve future Calls and Classes.
  • Provide participation data and lead generation opportunity recaps to internal stakeholders. 
  • Own and track OKRs and KPIs related to member engagement and satisfaction in your programs, with a particular focus on Customer Satisfaction (CSAT) scores and participation metrics. Present monthly performance reports and identify areas for improvement, bringing data-informed ideas to improve member experience and engagement.
    • Leverage your own experience and networks to keep a pulse on best practices in executive education, virtual event management, and industry trends to drive innovation in programming.
  • Constantly seek opportunities to improve and iterate on systems and processes for better efficiency and member experience, leveraging deep partnership with the Chief Growth Officer who is our organization’s operations expert.

Qualifications:

  • Bachelor’s degree required, with a concentration in business, communications, marketing, or a related field preferred. 
  • 5+ years of work experience. Prior executive communications, venture capital, startup, and/or C-level-executive-facing roles are a plus. 
  • Proven experience in program and/or project management for virtual events and webinars, ideally within a community-driven or executive-focused environment.
  • Appreciation for striving for perfection in the member experience, leveraging strong organizational and multitasking skills in your ability to manage multiple ongoing projects simultaneously with the highest attention to detail and deadlines.
  • Excellent communication and interpersonal skills, with a proven track record of flexibility, agility, and a collaborative mindset. Experience working on a remote team required.
  • Ability to create compelling, high-quality discussion content tailored to a professional executive-level audience.
  • Deep familiarity with digital tools like Airtable, Zoom, and Salesforce, with the ability to learn and adapt to new systems as needed. Technical troubleshooting experience with Zoom and Airtable is highly preferred. 
  • Strong executive presence, with demonstrated ability to engage and influence senior stakeholders, is preferred.
